Purchase orders
What is a purchase order?
It is the record of the requests issued to your supplier contacts to purchase the articles. It has a life cycle, which will pass to the voucher by states that reflect a particular situation for each case.
Required fields
- Contact: Indicates which supplier the Purchase Order is addressed to. The contact can NOT be generic ("Final Consumer").
- Creation date: It is automatically indicated with the current date. It requires special permissions to change this value.
- Items: Products required from the supplier to include in the order.
- It is necessary that the indicated price is valid.
- Updating the price requires special permissions.
- Observations: This free text field allows you to enter comments, agreements, or extra requirements. For example schedule or delivery conditions, etc.
Purchase order statuses
DRAFT COPY: Allows you to edit the Purchase Order.
APPROVED: The Purchase Order was approved by the supplier, as a result a Purchase will be created associated with the corresponding items, quantities and prices, in DRAFT status to be edited if necessary.
DECLINE: This action allows you to return the Purchase Order to DRAFT status at any stage of the process.
⚠️ The states APPROVED – CANCELED do not allow REJECTION.
CONFIRMED: The Purchase Order can no longer be edited.
CANCELLED: Allows you to end the flow.
Additional Information
Critical Stock: Facilitates access to items with stock equal to or less than what is indicated as MINIMUM STOCK in the product configuration. In this way, add them easily to the order.
Missing products: Facilitates access to items that were registered in an order and then not registered in their related sale.
Related Products: When accessing this search on an item, the system retrieves products that have the same tags configured.
Add Item: Through this button or key «+» we can add a new item to the voucher.
